What we collect, what we do with it, and what you can ask us to do about it.

Apex Enterprise Solutions LLC, doing business as TextLedger (“we,” “us,” or “our”), provides a text-message-based receipt capture and expense recordkeeping service (the “Service”), available over SMS and WhatsApp. This policy explains what we collect, how we use it, and what rights you have.
The short version. We collect what we need to read your receipts and give them back to you as records. We don’t sell your data, we don’t use it for advertising, and you can ask us to delete it at any time.
By texting a receipt to our service number, you agree to this Privacy Policy.
1. Information we collect
When you use the Service, we collect:
- Your phone number, as the identifier your records are filed under
- Receipt images you send us, and the data our system reads from them: merchant name, date, transaction time, total amount, expense category, and tax year
- Your email address, which we ask for so we can deliver your spreadsheet exports
- Optional details you choose to give us, such as your first name, the type of work you do, or an accountant’s email address
- Message content you send, including corrections and support questions
- Basic usage data, such as when messages were sent and processed
We do not collect full payment card numbers, bank account numbers, or Social Security numbers, and we ask that you avoid sending receipts or messages containing them.
2. How we use your information
We use it to read and file your receipt data, send you a confirmation after each receipt, produce the spreadsheet exports you request, improve extraction accuracy, and answer your support requests.
We do not use your information for advertising, and we do not sell it to third parties.
3. How your information is processed and stored
We use the following third-party providers to operate the Service:
- Twilio — sending and receiving your messages
- OpenAI — reading the text from your receipt images
- Make.com — connecting these steps together
- Airtable — storing your expense records
- Google Drive — storing your receipt images
- Porkbun — delivering your spreadsheet exports by email
Your receipt images are processed under standard data-processing terms and are not used to train public AI models. We take reasonable steps to keep your data secure, but no method of storage or transmission is completely secure.
4. Data retention
We retain your data for as long as your account is active, plus a reasonable period afterward, unless you ask us to delete it sooner.
5. Opting out
Text STOP at any time to stop receiving messages, or START to resume. Standard carrier message and data rates may apply.
6. Your rights
You may request access to, correction of, or deletion of your data at any time by emailing support@gotextledger.com. You can also pull your own records at any moment by texting EXPORT.
Depending on where you live, you may have additional rights under state privacy laws — including in California, Virginia, Colorado, Connecticut, and Utah. These can include the right to know what personal information we hold, to request its deletion, to correct it, and to opt out of its sale or sharing. We do not sell or share personal information as those laws define it, and we will not discriminate against you for exercising any of these rights. To make a request, email us at the address above.
7. Children’s privacy
The Service is not directed to anyone under 18, and we do not knowingly collect information from anyone under 18.
8. Changes to this policy, and how to reach us
We may update this policy from time to time, and will notify active users of material changes.
